Processing and privacy: The purchase order is built inside your browser. Your data and your suppliers’ data are not sent to any server.

How to use it

  1. Choose the document language, then enter the purchase-order number, its date, the requested delivery date and the currency.
  2. Enter your details as the buyer, and the supplier’s details.
  3. Write the delivery address and the delivery terms, such as receiving hours or whether part deliveries are accepted.
  4. Add the items with a description, quantity and agreed unit price, then add a shipping cost and a tax rate if they apply.
  5. Press “Create PDF”, check the preview and the page count, then download the file.

Example

The preloaded example: 500 cartons × 1.85 = 925.00, 48 tape rolls × 4.25 = 204.00 and 20 label rolls × 22.50 = 450.00, so the subtotal is 1,579.00 SAR.

Adding 75.00 shipping gives 1,654.00; tax at 15% of that is 248.10, so the total is 1,902.10 SAR in the summary and in the PDF.

Limits and caveats

  • The tool only lays out the purchase order and calculates its amounts. It does not send it to the supplier, track its status, or replace your agreement with the supplier on prices and terms.
  • Tax is one single rate applied to the items plus shipping. If shipping is not taxable in your case, leave the shipping field empty and state the amount in the notes, outside the total: entering it as an item would tax it like every other item.
  • Each line total is rounded to the currency’s smallest unit and the lines are summed. Up to 200 items; a 45-item document spanning several pages with a repeated table header was tested.
  • The embedded font covers Arabic and Latin; emoji are replaced with “?” and you are told how many. Arabic diacritics may sit slightly off and Arabic text copied out of the PDF may paste in the wrong order.
  • Nothing is saved after you close the page. A logo or electronic signature cannot be added; there is a blank line for approval and a handwritten signature.

Questions about this tool

How is a purchase order different from a quotation?

A quotation comes from the seller to offer prices. A purchase order comes from the buyer to order specific items at stated quantities, prices and delivery date. That is why your details go in the buyer block here.

Are tax and shipping required?

No. Leave both fields empty and neither line appears in the document; the total then equals the sum of the items.

Is supplier data sent to a server?

No. The PDF is built inside your browser, and the only file loaded from the site is the font.

What is a purchase order?

A purchase order (PO) is a document a buyer sends to a supplier to order specific items at agreed quantities and prices, with a delivery date. It becomes the reference for both sides when the goods arrive and when the supplier’s invoice is checked against it later.

What should a purchase order template include?

A purchase order template should include the PO number and date, the buyer’s and supplier’s details, the delivery address, date and terms, a table of items with quantity, unit price and line total, then any shipping and tax and the final total. All of these fields are in the tool, along with a line for the buyer’s approval and signature.
