Where do I put my IBAN, bank name and payment deadline on the invoice?

Put them in the 'Payment details' field, not the general notes. In the PDF that field prints as its own titled block directly under the totals, which is exactly where the client looks after seeing the amount. Put the due date in its own field too, so it also appears in the invoice header.

Laying out the field

The field keeps your line breaks, so give each piece of information its own line; numbers are hard to copy out of one run-on paragraph. Here is a pattern to adapt:

Worked example

Bank transfer to: Example Bank

Account name: Nasma Sweets Est.

IBAN: SA00 0000 0000 0000 0000 0000

Payment within 15 days of the invoice date

Please quote the invoice number in the transfer reference

That last line matters more than it looks. When the client puts the invoice number in the transfer reference, you can see at a glance which invoice was paid when you check your statement.

Due date and payment terms together

In the Basic invoice generator the due date is optional, but once filled it appears in the header next to the invoice number and date, so the client sees it before the line items. The phrase 'within 15 days' in the payment details explains the rule. Use both: the date leaves no room for miscounting, and the phrase restates what was agreed.

For example, an invoice dated 1 September with 15-day terms gets 16 September as its due date. Note that the tool will not accept a due date earlier than the invoice date.

Check the IBAN yourself

The tool does not validate the IBAN or the bank name. Whatever you type is printed as is. One wrong digit can mean a rejected transfer or weeks of delay, so:

  • Copy the IBAN from your banking app or account letter, never from memory.
  • After pasting, compare the first four and last four characters.
  • If you change accounts after sending an invoice, send a corrected invoice rather than a side message.

Should I add a QR code for payment?

The tool does not place images or codes on the invoice and does not create a QR code. If you have an online payment link, write it as text in the payment details, and you can make a QR code for it separately with the QR code generator to send alongside. Remember this is only a payment shortcut, not the tax QR code that e-invoicing requires.

The field holds up to a thousand characters, which is plenty for two bank accounts and your terms.
