I supply cakes to a café every week; how do I combine the month's deliveries into one invoice?

Make each delivery its own line and put the date in the description, such as 'Cheesecake, delivery 7 Sep', with that week's quantity and the unit price. The tool adds the lines up into the month's total, and the café can match every line to what it received that day.

Why a line per delivery, not one line for the month

A single line saying '47 cheesecakes' is arithmetically right, but it leaves the café asking where 47 came from. The manager probably has a delivery log or WhatsApp messages for each drop. With four lines and four dates in front of them, they can tick them off in a minute and pay. And if one delivery is disputed, the conversation is about one line, not the whole invoice.

Example: September

A home baker supplies a café with cheesecake every Monday at 95 SAR a piece. She left the tax rate blank. This is what she entered in the Basic invoice generator:

Worked example

Cheesecake, delivery 7 Sep: 12 x 95.00 = 1,140.00

Cheesecake, delivery 14 Sep: 10 x 95.00 = 950.00

Cheesecake, delivery 21 Sep: 14 x 95.00 = 1,330.00

Cheesecake, delivery 28 Sep: 11 x 95.00 = 1,045.00

Total: 4,465.00 SAR

Date the invoice on the last day of the month or the day you issue it, set an agreed due date, say ten days later, and put your transfer details in the payment details field.

Situations that come up with weekly supply

  • Several products in one delivery: give each product its own line with the same date, such as 'Brownies, delivery 14 Sep'.
  • Returned or damaged pieces: the tool does not accept a negative quantity, so enter the quantity actually accepted on that delivery's line and mention the return in the notes.
  • A price change mid-month: each line carries its own price, so use the new price on the deliveries after the change.
  • A café that wants an invoice every two weeks: same method, fewer lines.

Keep your own log too

The tool does not remember the month's deliveries; you do the collecting. Keep a sheet or a phone note with each delivery's date and quantity, written at handover, and ideally ask the café's staff to sign or message you a confirmation. At month end, copy the lines across as they are.

If you want to know what you spent on ingredients and packaging that same month to see your profit, gather your purchase receipts into a summary with the Expense summary generator and compare it with your invoices.
