How can warehouse staff use the packing list to check a shipment and sign it off?

Print the list before packing, have the packer tick each line as the item goes into its carton, then write their name and sign the 'Checked by' line at the bottom. The receiver repeats the same routine on their copy when the goods arrive. If a carton later turns up short, you know who checked the shipment and what was in it.

What prints at the bottom

Every list made with the Packing-list generator ends with 'Checked by (name and signature)' followed by a blank rule for handwriting. It comes after the items table, the totals and the notes, so after everything there is to check. With Arabic as the document language it reads «تمت المراجعة بواسطة (الاسم والتوقيع)», and you can choose a bilingual document if your team reads different languages.

At dispatch: the packer checks

  1. Create the list from the order and print it before packing starts, not afterwards.
  2. Order the items by carton number so you work on one carton at a time.
  3. Each time an item goes into its carton, count it and tick its line in pen.
  4. If a line comes up short, write the actual quantity beside it without a tick, then correct the list and recreate the file before shipping.
  5. After sealing the last carton, write your name, sign the bottom line and keep a photo of the page.

In the example preloaded in the tool, three cartons hold 40 size L shirts, 40 size M shirts and 25 belts, a total of 105 pcs. The packer counts each carton on its own, then checks that everything counted adds up to the 105 in the totals block.

On arrival: the receiver checks

The copy travelling with the shipment is the receiver's tool. They count the cartons first against the number of packages in the package details table, then open each carton and match its contents to the lines carrying its number. If they issued the purchase order, it helps to have the original beside them too, which can be made with the Purchase-order generator, to see whether what they ordered arrived, not just what was shipped.

Why the signature is worth the bother

A dispute over a short shipment always comes down to one question: did the item leave your premises at all? A signed list with ticks against each line answers that far better than memory. The tool keeps no copy, so the record is the signed page or a photo of it; file it with the order.

Common questions

Can I sign electronically inside the tool?

No, the line is printed for a handwritten signature. Photograph the signed page to store or send it.

Is there more than one signature line?

No, just one. If the receiver should sign too, they sign their own copy, or you can add 'Received by: ...' in the notes.
