Should I send the invoice on WhatsApp as a PDF or as a picture?
Send it as a PDF attached as a document. WhatsApp usually compresses images sent as photos, so small figures in a screenshot can blur, pages after the first get lost, and the client cannot copy your IBAN out of it. A PDF arrives at full quality, with sharp text that prints and copies.
What a screenshot loses
- Clarity: figures in the line table and the footer text are small, and a compressed image can make an 8 look like a 3 or a 6.
- Pages: a screenshot captures only what is on screen. A two-page invoice needs two images, and the client may miss the second.
- Copying: the client wants to copy the IBAN or invoice number to make the transfer. From a PDF they can copy Latin text and numbers; from a picture, not easily.
- Filing: an accounts team keeps PDFs in folders; photos get lost in a phone's gallery.
One honest caveat: Arabic text copied out of the PDF may paste in the wrong order, a limit the tool states openly. So write the IBAN and key numbers in Latin letters and Western digits, exactly as on your bank statement.
Sending it the right way
- Create the invoice in the Basic invoice generator and download the file, using a Latin number such as INV-2026-0051 so it shows in the file name.
- In the client's WhatsApp chat, tap the attachment icon and choose Document, not Photos.
- Pick the file from your downloads; the client will see it under its file name.
- Add a short line with the amount and the due date.
A sample covering message
A designer is invoicing five Instagram post designs at 120 SAR each, no tax. The tool's total is 600.00 SAR, and the message reads:
Hi Noura, attached is invoice INV-2026-0051 for this week's designs.
The total is 600.00 SAR, due on Thursday 24 September.
Transfer details are at the end of the invoice. Thank you.
It does not repeat everything; it gives the client the two figures they need to act and points to the file for the rest.
What if the client prefers to reach you through a link?
Some shop owners put a direct WhatsApp chat link with a ready-made message on their page, which you can build with the WhatsApp link generator. That link opens a text chat only and cannot attach files, so send the invoice afterwards as a document inside the chat, as above. And never post an invoice file in a public link or a group: it carries your client's details and your bank account.
