How to calculate work hours and pay
You have a part-time employee or an hourly packer, and at the end of the week you add up the hours on paper. A forgotten half-hour break here, an overnight shift worked out wrong there, and the difference shows up in the pay.
Hours and minutes, or decimal hours
Seven and a half hours is written 7:30 in hours and minutes, and 7.50 in decimal hours. Pay is calculated in decimal, and mixing the two is a common mistake: 7:30 is not 7.30 hours. The tool shows both for each day.
09:00 to 17:30 with a 30 minute break = 8:00, that is 8.00 hours.
22:00 to 06:00 with a 60 minute break = 7:00, that is 7.00 hours, and the row is marked “+1 day”.
Both days together are 15:00 hours, and at a rate of 50 an hour the total pay is 750.00 SAR.
Overtime
If you pay a higher rate after a set number of hours a day, enter the threshold and the multiplier. For example: 09:00 to 19:00 with a 60 minute break = 9 hours. With an 8-hour threshold, a 1.5 multiplier and a rate of 50: regular hours come to 400.00, the extra hour to 75.00, and the total is 475.00 SAR.
How to do it
- Open the Timesheet calculator and add a row per day: start time, end time and unpaid break minutes.
- If the end time is earlier than the start time, the tool treats it as a shift that ends the next day.
- Enter the hourly rate and currency, and the overtime threshold and multiplier if you pay it.
- Download the summary as CSV for a spreadsheet, or as PDF to print or send.
What to know
- Times are read exactly as typed, with no time zone or daylight-saving adjustment.
- The longest shift accepted is under 24 hours, and an end time equal to the start time is refused.
- A break longer than the shift shows an error instead of negative hours. Minutes are never rounded.
- The tool only counts hours. It does not know your country's labour law or public holidays, and does not calculate tax or insurance.
If you pay in cash or by transfer, you can document the payment with a receipt from the Receipt generator, and add wages to your monthly Expense summary generator.
Common questions
How do I enter a shift that starts in the evening and ends in the morning?
Type the start and end times as they are, like 22:00 and 06:00. The tool knows it ends the next day.
Why is the sum of daily pay one unit off the total?
Pay is rounded once at the end, so adding rounded daily amounts by hand can differ by one unit in the last place.
Is employee data saved?
No, the calculation runs inside your browser and nothing is saved.
