Could someone alter the prices in my PDF quote after I send it?

Yes, technically. The tool produces an ordinary PDF with no password, lock or digital signature, and PDF editors can change files like that. Your real protection is not in the file but in the unique quote number, the copy you keep, the message you sent it with, and the client's written confirmation of the number and total.

What the file does not do

  • It does not ask for a password to open or edit it.
  • It carries no digital signature that would reveal changes after it was created.
  • It has no image of your signature or stamp, since the tool cannot add them.

That is no reason to distrust your clients, but it does mean that if you ever need to prove what you offered, the file the client holds should not be your only evidence.

What actually protects you

  1. A unique number for every quote: never reuse a number. The Quotation generator puts it in the file's title and in the downloaded file name, such as quotation-Q-2026-0021.pdf.
  2. Your original copy: save the file in the client's folder as soon as you download it, and do not edit it after sending. To change anything, issue a new version with a new number.
  3. A sending channel that keeps a record: email or WhatsApp stores the date and the file you sent.
  4. Written acceptance: ask the client to reply with their approval, stating the quote number and the total.
Worked example

Quote for installing security cameras: 4,750.00, tax at the entered rate (15%) 712.50.

Total 5,462.50 SAR.

The acceptance message to ask for: ‘We accept quote Q-2026-0021 with a total of 5,462.50’.

With that message, if an altered copy with a different total ever surfaces, the figure the client agreed to is in their own words in the conversation, and it matches your copy.

What about a watermark?

After downloading the quote you can add a watermark with the PDF watermark tool, such as ‘Prepared for Example Co., Q-2026-0021’. It does not prevent editing, but it makes reusing the quote elsewhere less convenient and reminds anyone who sees it that it was addressed to a specific client. Keep it transparent enough that the figures stay easy to read.

Mistakes that weaken your position

  • Sending two different quotes under the same number.
  • Editing your own original after sending it, so the version the client saw no longer exists.
  • Agreeing a price change verbally without issuing a new quote.

And do not rely on the quote alone for large agreements: the tool lays out the quote and calculates its amounts, but it does not make it legally binding and gives no legal opinion.

Common questions

Can I lock the file with a password?

No. The tool does not add passwords or editing restrictions.

Does my name appear in the file properties?

Yes. The name you entered in your details is recorded as the file's author, and its title carries the quote number.

Should I send the quote as an image to stop edits?

Images can be edited too. What matters is your copy and the client's confirmation, not the file format.
