How do I quote a wedding shoot charged by the hour plus a printed album?
Make the coverage one line with the hours as the quantity and your hourly rate as the unit price, and the album a second line with a quantity of 1. The tool multiplies, adds them up and applies tax only if you enter a rate, so the couple sees exactly what the time costs and what the album costs.
Why keep the hours and the album apart?
Hourly coverage is a service that grows with the length of the event, while an album is a product with a fixed printing and binding cost. Roll them into one figure such as ‘Wedding package 3,900 SAR’ and the couple starts negotiating the whole number, without seeing what they give up by booking fewer hours. Split them and every decision is clear: an extra hour has a price, and so does the album.
It helps you too. If the party runs an hour over, you already know what to add without reopening the album price.
How to enter it in the tool
- Open the Quotation generator, choose the document language, then enter the quote number, date and valid-until date.
- On the first line write something the couple will understand, such as ‘Wedding coverage: arrival and reception, 6 hours’, with 6 as the quantity and your hourly rate as the unit price.
- On the second line write ‘Printed album 30×30 cm, 40 pages’ with a quantity of 1 and its price.
- Enter a tax rate if tax applies to your business, or leave the field empty and no tax line appears at all.
- Write what the quote excludes in the notes, press ‘Create PDF’ and check the preview.
6 hours × 450 = 2,700.00.
Printed album × 1 = 1,200.00.
Subtotal 3,900.00, and tax at 15% (the rate entered for this example) is 585.00.
Total 4,485.00 SAR.
Half hours are fine
The quantity field accepts decimals, so if you agree on five and a half hours, type 5.5. With the same prices the coverage line becomes 2,475.00, the subtotal 3,675.00, tax 551.25 and the total 4,226.25 SAR. If the couple asks for 8 hours, the subtotal is 4,800.00 and the total 5,520.00. Change one number and create the file again; there is nothing to recalculate by hand.
What goes in the notes
- When the edited photos will be delivered and roughly how many.
- The rate for any overtime hour, so it is not a surprise on the night.
- What is not included: travel outside the city, or extra copies of the album.
- How payment works, for example a deposit to hold the date and the rest before the album is handed over.
To offer an early booking discount, pick the ‘Percentage’ or ‘Fixed amount’ discount type. The tool subtracts it from the subtotal before tax, and you can compare different rates first with the Discount calculator. After the wedding, build the invoice with the same figures in the Basic invoice generator.
Common questions
Can I put sample photos from my portfolio inside the quote?
No. The tool does not add images, logos or signatures. Send a link to your portfolio in the same message as the file.
Will the couple see my hourly rate?
Yes. The table shows the quantity, the unit price and each line total, so the hours, the rate and what they come to are all visible.
Is the quote saved so I can edit it next week?
No, nothing is saved. Keep the PDF and a plain-text copy of the lines if you expect to revise it.
