Are my employees' hours and pay rates stored or sent anywhere when I use the timesheet calculator?

No. Hours, hourly rates and totals are calculated inside your browser, the CSV and PDF are built on your device too, and your times and rates are not sent to any server. The table is not saved either: close or reload the page and it goes back to the example data. So download the summary before you leave.

What actually happens to what you type

When you enter a start, an end, a break and a rate, every calculation runs in the page in front of you. The multiplying, adding and rounding happen in your browser, and the result appears instantly without waiting on a server. When you press 'Download CSV' or 'Create PDF', the file is made on your device and lands in your downloads folder like any other file.

There is no field for an employee's name, ID number or bank account. A row holds a date, two times and a break; the settings hold a rate, a currency, an overtime threshold and a multiplier. The most anyone could learn from the table is that someone worked certain hours at a certain rate.

The other side: nothing is kept for you either

Not saving protects privacy, but it puts the record-keeping on you. Enter a full month for one employee, close the tab by accident, and you start again. Habits that protect you:

  1. After entering hours in the Timesheet calculator, download the CSV straight away even if you are not finished; it is a copy you can go back to.
  2. The downloaded file always has the same name, timesheet.csv or timesheet.pdf. Rename it with the employee and month so files do not get mixed up or overwrite each other.
  3. Keep the files in a folder only you can reach, especially on a shared shop computer.
  4. Send each employee their own file only, not the team summary, because pay is a private matter between the business and each person.

After the calculation: recording the payment

A timesheet summary shows what an employee earned; it does not prove you paid. If you pay in cash or by transfer, make a receipt for the same amount with the Receipt generator, have the employee sign it, and file it with that month's timesheet. Then you hold two matching records: how much they worked and how much they received.

Because the calculator only shows what you entered, it does not check attendance and does not know employment rules. Check the figures against your payroll system or with your accountant before you rely on them, especially if you have deductions or insurance the tool does not calculate.

Questions shop owners ask

  • Can anyone else see the pay? There is no account, no sign-in and nowhere the data is uploaded to.
  • Can I start on my phone and carry on at the computer? No; the table is neither saved nor synced. Download the file and send it to yourself.
  • Can I load a CSV back into the calculator? There is no import, so the file is for your records and spreadsheets, not for editing in the tool.

Common questions

Do I need an account to use it?

No. You open the page and start; no email or name is asked for.

What happens if I reload the page?

The table goes back to the example data and your entries are gone, so download the summary first.

Does the PDF include the employee's name?

No. It carries the title 'Timesheet summary', the table and the totals. Put the name in the file name or in your message.
