How do I put a whole month of order invoices into one PDF for my accountant?
Add the month's invoices to [[merge-pdf]], put them in date order with the move buttons, then press 'Merge and download' to get a single merged.pdf. Before you press it, read the summary line showing the number of files and the total pages: it is the quickest way to be sure no invoice went missing.
Get the invoices ready first
Your accountant reads invoices in date order and ticks them off against the bank statement. So gather the month's files in one folder and make sure each one is a real PDF. Invoices made with the Basic invoice generator are already in that format; a supplier bill you photographed on your phone needs turning into a PDF before it can join the pack.
- Open Merge PDFs and choose the month's files in one go, or add them in batches, since the list keeps what you already added.
- Look over the numbered list: each file shows its page count and size.
- Move any invoice that landed out of place with 'Move up' or 'Move down'.
- Read the summary line, then press 'Merge and download'.
Worked example: eight invoices, ten pages
The month has eight files: six single-page invoices and two with two pages, in the order 1, 1, 2, 1, 1, 1, 2, 1.
The summary reads Files: 8, total pages: 10, and the merge is allowed because that is far below the 2000-page ceiling.
If the list arrives as inv-03, inv-01, inv-02, moving inv-01 up one place gives inv-01, inv-03, inv-02, and one more move for inv-02 completes the sequence.
If you expected 10 pages and the summary says 9, an invoice is missing or doubled. Catching that before you send is cheaper than a query from the accountant a week later.
After merging: number the pages and name the file
The merged file keeps every invoice at its own page size, so a supplier bill in a different format stays exactly as it was. What the accountant will want is a way to point at a page, as in 'see page 7'. Open the merged file in PDF page numbering and stamp the numbers on, then rename merged.pdf to something that says which month it covers.
- Use the same naming pattern every month, such as invoices 2026-09, so it is easy to find later.
- Keep the original invoices as separate files too; the merged pack is a review copy, not your archive.
- If a month runs past 20 files, merge in two rounds and then merge the two results together.
Common questions
Will my accountant see a watermark or advert on the file?
No. The tool copies your invoice pages as they are and adds nothing to them.
Are the invoices uploaded anywhere while merging?
No. The merge runs in your browser, which suits invoices carrying customer names and numbers.
An invoice arrived after I merged. Do I start again?
No need. Add the merged file plus the new invoice and merge those two, or move the new pages into place with the page reordering tool.
