A registration form lets me upload only one file, but I have my trade licence, VAT certificate and ID. What do I do?

Merge the three documents into one PDF in the order the form lists them, then upload that file. If your ID is a phone photo, turn it into a PDF first. Because [[merge-pdf]] runs inside your browser, your official documents never pass through a middleman website on the way to the portal.

Before merging: make every document a PDF

A trade licence and a VAT registration certificate usually arrive as PDFs from the systems that issued them. Your ID is often a photo taken on your phone. The merge tool accepts PDFs only, so convert the photo first with Images to PDF, cropping out the table around it before you do.

Watch out for certificates downloaded from official systems: some are restricted against editing. If the tool refuses a file as protected or encrypted, download it again from its source or ask the issuer for an unrestricted copy, and do not try to break the protection.

Merge in the order the reviewer expects

  1. Read the wording next to the upload slot and note the order it lists the documents in, for example licence, then VAT certificate, then ID.
  2. Add the files to Merge PDFs and match the numbered list to that order.
  3. Check each file's page count, since a licence you expect to be one page can turn out to be two.
  4. Press 'Merge and download' and give the file a name that says what is inside before uploading.
Worked example

Trade licence one page, VAT certificate one page, ID two pages (front and back): 1, then 1, then 2.

The summary shows 3 files and 4 pages, and the reviewer sees the documents in the order they asked for.

File size: check it yourself before uploading

Every portal sets its own upload limit, it varies between portals and can change, so read it on the upload page rather than relying on a number you heard. The merged file is about the size of the documents added together, and the ID photo is usually the heaviest part. If you are over, shrink the ID photo before turning it into a PDF, then merge again.

Common questions

Can I put both sides of my ID on one page?

The merge tool places each page as it is and does not combine two pages into one. If the portal wants both sides on one page, join the two photos into one image first, then convert it to PDF.

Does the site keep a copy of my documents?

No. The merge runs in your browser and the files are not uploaded to us. The file you downloaded stays in your device's Downloads folder.

My application was rejected over document order. Do I start over?

No. Add the same files again, change the order with the move buttons and merge once more.
