How do I total a delivery driver's hours for a full month and work out his hourly pay?
Add a row for every working day on one sheet; it holds up to 62 rows, about two months. Leave days off empty, since a completely empty row is skipped. The total shows in hours and minutes and in decimal hours, and the pay is the total minutes times the hourly rate, rounded once.
A real month, worked through
A driver works an evening shift from 14:00 to 23:00 with an hour's dinner break, six days a week, which makes 26 working days in the month. The rate is 18 SAR an hour. Each day is 8:00, the month is 208:00, or 208.00 hours, and the pay is 3,744.00 SAR.
Note that the total reads 208:00, not 16:00 and not '8 days 16 hours'. The calculator never wraps hours at 24, so the figure stays clear for whoever reads the sheet.
Entering the month
- Open the Timesheet calculator and press 'Add day' until you have a row for each day of the month, or each working day.
- For every working day fill in the date, start, end and break minutes. The date is optional but helps when you go through the sheet with the driver.
- Days off: leave the row completely empty or remove it with its remove button. A row with only a date and no times or break is also treated as empty and not counted.
- Enter the hourly rate. If the driver has no overtime arrangement, leave the threshold empty.
- Check 'Days counted': it should match the days actually worked, 26 in the example.
When one day in the month is incomplete
Over a full month it is easy to miss one end time. The calculator does not quietly total the month without it. It highlights the row, writes a message under the table such as 'Day 3: Enter an end time.', shows 'Fix the highlighted rows to see the totals.' in place of the result, and disables the downloads.
For example: row 1 from 09:00 to 17:00, row 2 empty for a day off, row 3 with a start of 09:00 and no end. Row 2 is skipped without complaint; row 3 is reported by its number. Far better than a payslip a whole day short that the driver spots after the transfer.
Tips for a driver's month
- A shift that runs past midnight, such as 16:00 to 01:00, is entered as it is and counted correctly with a '+1 day' badge.
- If you need more than 62 rows, say three months, split them into a sheet per month.
- The calculator does hours and pay only. Per-order commission, fuel allowance or any deduction is not included, so add or subtract it yourself on the payslip.
- Download the CSV mid-month as a backup, because the table is not saved when you close the page.
When you pay, you can issue a receipt for the amount with the Receipt generator and attach it to the PDF timesheet, so both you and the driver hold a complete record of the month.
Common questions
Can I put several drivers on the same sheet?
Technically yes, but the total would lump everyone together. A separate sheet and file per driver is much clearer.
What if the hourly rate changed mid-month?
There is one rate per sheet. Split the month into two sheets with the two rates and add the totals.
How many rows does a sheet hold?
Up to 62. After that the 'Add day' button stops and a message explains the limit.
