Is it better to let Word insert page numbers before export, or stamp them on the finished PDF afterwards?
If you have the editable Word file and it is the whole document, number it in Word: the page number field there updates itself whenever you add or remove content. If the final document is assembled from several files, reached you as a finished PDF with no source, or includes scanned pages, number the PDF itself as the very last step, after merging and ordering.
Word's advantage: the number knows where it is
In Word and similar editors a page number is not fixed text but a calculated field. Add a paragraph that pushes half a page forward and everything after it updates on its own. You can also have a table of contents point to the right page numbers automatically. No tool that works on a PDF can offer that, because numbers on a PDF are fixed once drawn.
So if the whole document is a single file you edit yourself, such as a contract or a user guide, there is no need for an extra step after export.
When numbering the PDF is the right call
- The document is assembled from different sources: a proposal with pages from Word, tables from Excel and a catalog from a design app. Each part numbers itself from 1 in its own program and knows nothing about the others. After combining them with Merge PDFs the file needs one sequence.
- You do not have the source: a supplier sent a catalog as a PDF, or an authority sent a ready form, and you need to add numbers before attaching it.
- The file includes scanned pages, such as certificates or receipts, which Word cannot number at all.
- You want a special label on the assembled document, such as a reference before the page number, without editing every source file.
If you number the PDF
- Gather every part and put it in its final order.
- If some parts carry old numbers from their own programs, remove the numbering at the source before export if you can; otherwise pick a different spot for the new numbers.
- Open PDF page numbering, choose the format, start number and range, and tick Skip the first page if there is a cover.
- Check the preview and download. If any content changes later, go back to the unnumbered file and number again, rather than stamping over existing numbers.
Quick comparison
- Updating after edits: Word updates numbers automatically; with a PDF you renumber from the unnumbered copy.
- Assembled files: Word only sees its own file, while the tool numbers the finished document as one unit.
- Scanned pages: not possible in Word, possible with the tool.
- Arabic and Arabic-Indic digits: available both ways; the tool draws Arabic with joined letters and offers Arabic-Indic digits for the inserted number.
Common questions
Can I combine the two approaches?
Yes, carefully: number in Word and then number the PDF again and every page shows two numbers. Pick one method per document.
Can the numbers on the PDF be edited later?
Not in the tool. They are fixed text drawn on the page, so the easy route is to keep an unnumbered copy and renumber from it.
