I merged three PDFs that each carry their own old page numbers; how do I add one consistent numbering without confusing readers?
The tool draws new numbers on top of the pages and cannot erase the old ones, so the answer is to make the new sequence clearly different: put it where the old numbers are not, for example top right if theirs sit bottom centre, and give it a distinct label such as File page {n} of {total}. Readers then see one continuous sequence that looks nothing like the original numbering.
The usual situation
A client proposal assembled from three parts: an 8-page company profile, a 12-page technical offer and 10 pages of terms. Each came out of a different program with its own numbers, so after combining them with Merge PDFs you have a 30-page file where counting starts at 1 three times. When the client says 'page 5', nobody knows which page 5 they mean.
Why the old numbers stay
The old numbers are part of each page's content, like any other word on it. The tool does not edit existing content; it only adds new text on top. Put the new number in the same spot as the old one and you get two numbers stacked on each other, both unreadable. So the fix lies in placement and wording, not in erasing.
Suggested settings
- Open the merged file in PDF page numbering and note where the old numbers sit in each part. Usually bottom centre or bottom right.
- Choose a position none of the parts uses, such as Top with Right.
- Choose Custom template and type a label unlike the old numbers, such as File page {n} of {total}. The seventh page will read 'File page 7 of 30'.
- Leave the pages field empty so the whole file is numbered, with a start number of 1.
- Check the preview for a page from each part, especially the first page of parts two and three, then download.
Making the difference obvious to readers
- The extra word in the template does most of the work: 'File page' or 'Ref' tells the reader this is the number to quote.
- A different colour helps too. Pick one that sets the new number apart from the old ones while staying legible when printed.
- Say it in your message: 'Please use the page numbers at the top right.' One sentence saves a whole phone call.
- The template can be up to 80 characters and must include {n}; keep it short so it does not crowd the header area.
Is there a cleaner route?
If you have the editable source files, such as Word documents, the cleaner route is to remove their page numbers, export again, merge, and number the merged file once. If the parts reached you as finished PDFs, the approach above is the practical one.
Common questions
Does numbering change the page order?
No. Numbering only adds text and moves no page, so get the order final before you number.
Can I number only one part of the merged file?
Yes. Type that part's range in the pages field, such as 9-20, and the other pages stay exactly as they are.
