Should I reorder pages in the PDF itself, or fix the order in my Word or Canva file and export again?

If you own the editable source, fix the order there and export again, because a fresh export updates printed page numbers and the contents page. For scans, supplier files and final PDFs whose source you do not have, use the reorder tool: pages move as they are with no re-export, although numbers printed on them do not change.

What a fresh export updates that PDF reordering does not

Move a slide in Canva or a section in Word and export, and the program rebuilds the whole file. Footer page numbers are recalculated, an automatic Word contents page picks up new numbers once fields are updated, and cross-references like see page 7 may update if they are linked. The reorder tool sees none of that: it moves pages exactly as they were drawn, so a page that says Page 3 of 10 still says so in its new position.

When to edit the source

  • A catalog you designed in Canva where you want the offers section first, and pages carry visible numbers.
  • A quotation or report in Word with an automatic contents page.
  • A file you will edit again soon, where the source order should be right from now on so you are not fixing it after every export.

When to reorder the PDF directly

  • A scanned file that never had a source.
  • A catalog or offer from a supplier that reached you only as a PDF.
  • A file you merged from several sources, where re-exporting each one takes longer than moving two pages.
  • A final file where nothing but the order should change, since a fresh export may alter fonts or image quality depending on your settings.

If you choose to reorder the PDF

  1. Open Reorder PDF pages and choose the file.
  2. Move pages with their buttons, or by dragging on a computer.
  3. Check the “New order” line, then press “Download in new order”.
  4. Open the file and look at the printed numbers and any contents page. If they are now misleading, tell whoever will read the file, or go back to the source if you have it.

A quick comparison

A 10-page company profile designed in Canva, and you want the our work page moved from position 8 to position 3. If the pages have no visible numbers, moving it in the reorder tool takes seconds and the result is the same. If every page has a number in the corner, moving it in the PDF leaves the third page labelled 8, and the cleaner fix is to move it in Canva and export.

Common questions

Does text stay selectable after reordering?

Yes. Pages are not redrawn, so anything that was text stays text.

Do links in the file change?

Links belong to their pages and move with them. A link that jumps to a page inside the file still points to that same page in its new position.
