Where does the client company's VAT or registration number go on a quote?
The ‘Customer details’ section has an optional field called ‘Tax or registration number’. Whatever you type there prints under the client's name, address, phone and email, labelled ‘Tax/reg. no.’. Your own section has the same field for your number. The tool does not validate it, so copy it exactly from the client's documents.
Why companies ask for it
When you deal with a company's purchasing team, your quote is often checked against their supplier and customer records before approval. Having the company's tax or commercial registration number on the quote speeds that check and confirms you addressed the right entity, especially when a group runs several companies with similar names.
How it appears in the file
- Your details sit in a column headed ‘From’ and the client's in a column headed ‘Customer’, side by side near the top of the page.
- Within each column: the name, then the address lines, phone, email, and finally the tax or registration number.
- On an Arabic quote the label reads ‘الرقم الضريبي أو السجل’, and on a bilingual one both labels appear together.
- Leave the field empty and the line does not appear at all, so there is no half-filled row in the file.
An IT supplier quotes a company for 12 devices × 950 = 11,400.00.
Tax at the supplier's entered rate (15%) 1,710.00, total 13,110.00 SAR.
Under the client company's name, a line shows its number as copied from the request-for-quotation letter.
Two numbers in one field?
The field holds 40 characters. If the client wants both their tax number and their commercial registration on the quote, you have two options:
- Put both in the same field separated by a slash, each with a short prefix, as long as the whole thing stays within 40 characters.
- Or put the tax number in the field and add the registration as the last line of the address, which accepts several lines up to 240 characters.
Points to watch
- Copy the number from an official document the client sent, not from memory or an old email. A number with a missing digit sends the quote straight back to you.
- The tool does not check the number or whether it is registered with any authority.
- A quote is not a tax invoice. When the client accepts, create the invoice with the same figures in the Basic invoice generator, bearing in mind it is a basic template, not certified e-invoicing.
Open the Quotation generator, fill in the field in the customer section and check the preview: the line appears at the end of the client's block.
Common questions
Is the field required?
No. Only the name is required in each section; the other fields are optional.
Can I type the number in Arabic digits?
It prints exactly as typed, because it is text rather than a calculated figure. It is best to copy it in the same form as the client's documents.
Does my own tax number appear too?
Yes, if you type it in your own section, and it appears under your name in the same way.
