How can I attach my company profile page at the front and my terms page at the back of every quotation?

Make the profile page and the terms page once, as two separate PDFs. Then for each quotation open [[merge-pdf]] and add three files in this order: profile, quotation, terms. A two-page quotation becomes a four-page file ready to send.

Why keep ready-made pages

Your profile page, with logo, services and contact numbers, and your terms page, with validity period, payment method and cancellation policy, rarely change. The quotation changes with every client. Separating the fixed from the variable means you design those two pages carefully once, then simply create each quotation in the Quotation generator and wrap it with them.

The steps for each quotation

  1. Save the two fixed files in a clear folder, named for example 01-profile.pdf and 99-terms.pdf, so they sit at the top and bottom of the folder.
  2. Create the quotation and download it as a PDF.
  3. Open Merge PDFs, choose the three files, then check their order in the numbered list and fix it with the move buttons if needed.
  4. Press 'Merge and download', then rename merged.pdf to the quote number and client name.
Worked example

One profile page, a two-page quotation and one terms page: 1, then 2, then 1.

The summary shows 3 files and 4 pages, and the result has the profile on page 1, the quotation on pages 2 and 3, and the terms on page 4.

Details that make the difference

  • Page size: every page keeps its original size. If your profile page was designed at a different size from the quotation, it will look different in the file and when printed. Design it at the quotation's page size so the pack looks consistent.
  • Repeats: if you want the logo page at both the front and the back, add the profile file twice; the tool accepts the same file more than once.
  • Updates: when your terms change, edit the fixed file once and every quotation after that carries the new version.

If you send quotations on WhatsApp, remember the chat preview usually shows the first page, so your profile page is the first thing the client sees. Make it clear and readable on a phone screen.

Common questions

Do links on the profile page stay clickable?

Links placed on a page are copied with it, so they normally work. Tap one in the merged file before relying on it.

Do the prices or fonts in the quotation change after merging?

No. The quotation pages are copied as they are, with no change to their content.

Does this make an official, certified quotation?

The merged file contains only what you created. The quotation tool makes a basic document, and your commitments are set by your own terms.
