How do I show a 50% upfront, 50% on delivery payment split on a quote?

Write the schedule in the ‘Notes and terms’ field, and work out each payment from the final total the tool gives you after discount and tax. The quote shows a single total and has no installment field, so state both amounts in riyals next to the percentages, so the client does not calculate them their own way.

Why write the amount, not just the percentage

‘50% upfront’ sounds clear, but it invites a question: 50% of what? Before or after tax? Before or after the discount? Writing the actual figure in riyals closes that door. The simple rule is to calculate installments from the last line of the totals summary, the total.

Example: fitting out a coffee corner in an office

Worked example

Design and drawings × 1 = 1,500.00.

Build and installation × 1 = 8,000.00.

Subtotal 9,500.00, tax 1,425.00 at the 15% rate the seller entered.

Total 10,925.00 SAR, half of which is 5,462.50.

The notes might then read:

  • First payment: 50% on order confirmation, 5,462.50 SAR.
  • Second payment: 50% on delivery, 5,462.50 SAR.
  • Work starts once the first payment is received.

What if the split is not half and half?

Plenty of businesses ask for 30% upfront and the rest on delivery. On the same total the first payment is 3,277.50 and the second 7,647.50. Work out the first payment, then subtract it from the total to get the second, instead of calculating each percentage separately; that way the payments always add up to the total to the halala. Three payments work the same way: the last one is whatever remains.

The steps in the tool

  1. Enter the lines, discount and tax in the Quotation generator and wait for the total in the totals summary.
  2. Calculate the payments from that total.
  3. Type them into ‘Notes and terms (optional)’, one line per payment. The field keeps your line breaks.
  4. Add when each payment falls due and what starts after it, then create the file.

After the client accepts

When the first payment arrives, give the client a receipt for it from the Receipt generator. On delivery, create the invoice in the Basic invoice generator with the same lines and enter the upfront payment in the ‘Amount paid’ field, and the invoice works out the balance due for you. The tool does not make payment terms legally binding; they are text you write and agree with the client.

Common questions

Can the payment schedule go in the lines table?

Better not. Every line is added into the total, so two payment lines would double the amount. They belong in the notes.

Is there a length limit on the notes?

Yes, 1000 characters, which is enough for a payment schedule and short delivery terms.

If the total changes after negotiation, do the payments update?

No, the notes are fixed text. Recalculate the payments from the new total and edit the wording.
