Should a free extra go on the quote at zero or be left off?
List it as its own line with a unit price of 0. The tool accepts a zero price, so the line shows in the table with a 0.00 total without changing the subtotal or the tax, and the client sees what they are getting free. Leave it off and its value is invisible; mention it only in the notes and it is easy to forget.
Why show something you are not charging for?
Clients compare your quote with others. If you include a free month of support after delivering an online store and do not write it down, your quote looks just like a competitor's that offers nothing. A free line turns your generosity into something written and comparable. It also protects you: something clearly labelled ‘one month’ does not later turn into ‘open-ended support’.
The three options and what they do to the figures
The example: a store design on Salla for 1,800 SAR, with a month of technical support normally priced at 150 given free, and tax at the rate the designer enters (15% here).
Option one, a line at 0: lines of 1,800.00 and 0.00, tax 270.00, total 2,070.00.
Option two, notes only: the same figures, 2,070.00, but no line in the table.
Option three, the line at its price with a fixed discount of 150: subtotal 1,950.00, discount 150.00, 1,800.00 after discount, total 2,070.00.
The final figure is identical in all three; the message is not. Option three shows the gift's value in riyals, which helps when you want the client to know that what they get free has a price. But if you list the support at 150 and forget the discount, the total jumps to 2,242.50, a mistake worth catching before you send.
How to write the free line
- In the Quotation generator, add a new line after the paid ones.
- Write a description that says it is free and states its limits, such as ‘Technical support for one month after launch (free)’.
- Set the quantity to 1, since the quantity must be above zero, and the unit price to 0.
- Check that the subtotal has not changed, then create the file.
When the notes are the better place
- When the gift is too small for its own line, such as gift wrapping on a wholesale order.
- When it is conditional, such as ‘free delivery if confirmed within 7 days’; a condition needs a sentence, not a line.
- When the table is already long and you want it to stay focused on what is paid for.
If you are weighing a discount instead of a gift, compare what each does to your profit first in the Discount calculator.
Common questions
Can I set the quantity to zero instead of the price?
No, the quantity must be above zero. It is the price that accepts zero.
Is tax charged on the free line?
No. Its total is 0.00, and tax is worked out on the subtotal after any discount.
Can I add more than one free item?
Yes. Each is its own line at a price of 0, and none of them changes the total.
