How do I write a receipt for a refundable deposit on rented event equipment?

Issue a receipt for the deposit on its own, separate from the rental, say in what the payment is for that it is a refundable security deposit with the equipment and rental dates, and put the return conditions in the notes. That way both sides know this money is not income and comes back when the gear comes back in good shape.

Why the deposit gets its own receipt

Put the rental and the deposit on one receipt as a single figure and a week later nobody remembers which part is coming back. The customer asks for all of it, you remember a different number. Two receipts, each with its own purpose and number, turn the settlement on return into one line: this one is refunded, that one is not.

It also keeps your own books straight: the rent is income, the deposit is money you are holding for someone else for a few days.

Example: a sound system for a wedding

  1. In the Receipt generator, give the deposit its own number, such as DEP-2026-0015, and the date you took it.
  2. Enter the deposit, 1500; the summary shows 1,500.00 SAR. Pick the method it was actually paid by.
  3. In what the payment is for, write: 'Refundable security deposit for sound system rental (2 speakers, mixer, 2 microphones), 12 to 14 Oct'.
  4. In the notes, write the return conditions in plain words, one per line.
  5. Complete your details and the customer's, create the file and send it along with the rental receipt.

What to put in the return conditions

  • When and where: 'Equipment returned to the warehouse by 1 pm on 15 Oct'.
  • When the deposit comes back: 'Refunded in full within two working days of inspection'.
  • What can be deducted, if you agreed it: 'Repair cost of any damage or missing part is deducted'.
  • How it is refunded: cash, or transfer to the account the customer paid from.

These conditions are your own text; the tool prints them exactly as written and adds nothing. Write what you actually agreed, and ideally put it in the quotation you sent through the Quotation generator first, so the customer is not seeing the terms for the first time on the receipt.

When the gear comes back

When you refund the deposit, you want proof the customer got it. A transfer leaves its own trail on your statement. For cash, ask the customer to write and sign 'Deposit received back in full' with the date on a copy of your original receipt. If you kept part of it for damage, set out the amount and the reason in a clear message to the customer.

Common questions

Is there an option to mark the amount as refundable?

There is no dedicated field. The wording in what the payment is for and the conditions in the notes are what make it clear on the receipt.

Should I state the value of the equipment?

You can mention it in the notes if it explains the size of the deposit, but the printed amount stays the deposit you received, nothing else.
