The client negotiated the price down; how do I issue a revised quote?

Issue a new quote with a number that marks it as a revision, such as Q-2026-014-R2, dated today with a fresh validity date, and show what you agreed as a discount line rather than by changing prices. The tool does not keep earlier quotes, so you will re-enter the details; keep the lines in a text note you can copy from.

Why a discount beats a quiet price cut

Say the original quote was an online store design at 6,000 SAR, and after some back and forth you agreed 600 off. Two approaches give the same figure:

Worked example

Original quote: 6,000.00, tax at the entered rate (15%) 900.00, total 6,900.00.

Revision with a fixed 600 discount: 5,400.00 after discount, tax 810.00, total 6,210.00.

A 10% discount instead of the fixed amount gives the same total here: 6,210.00.

Change the line price to 5,400 and that becomes your ‘normal’ price in the client's mind, and the next negotiation starts from there. A discount line keeps the original 6,000 visible and shows the concession clearly as an exception for this order.

Revision steps

  1. Open the Quotation generator and re-enter your details, the client's and the lines from your text note.
  2. Add a suffix such as R2 to the quote number. The field holds 30 characters, and the downloaded file name is built from it: quotation-Q-2026-014-R2.pdf.
  3. Use today's date and set a new validity; do not carry over the old quote's expiry.
  4. Under ‘Discount type’ pick ‘Fixed amount’ and type 600, or ‘Percentage’ if the deal was a rate.
  5. Add a line in the notes saying this quote replaces and cancels the previous version.

Negotiate scope, not just price

Sometimes the better answer is to drop a line rather than discount the total. If the project was 4,500 for design and 1,500 for copywriting, and the client will write the copy themselves, remove that line: the subtotal becomes 4,500.00 and the total 5,175.00 at the same rate. You have not cut the price of your work; you are simply delivering less.

Keep a record of versions

  • Save each version's file under its own name, and never overwrite the old one.
  • In the covering message, say in a line or two what changed between versions.
  • When the client accepts, invoice only from the approved version's figures.

If the client wants two discounts, such as a volume discount and then one for paying upfront, the tool accepts a single discount. Work out the net effect in the Discount calculator and enter it as one fixed amount.

Common questions

Can I open the old PDF and edit it in the tool?

No. The tool creates files; it does not read them. Re-enter the data.

Can I keep the same number without a suffix?

Better not. Two versions with one number and different totals lead to disputes later.

Does the original price still show with the discount?

Yes. The subtotal appears, then the discount row, then ‘After discount’ when a tax rate is entered, so the client sees both the original price and the concession.
