Can a wholesale quote with 150 product lines fit in one PDF?

Yes. The tool takes up to 200 lines per quote, spreads them over as many pages as needed, repeats the table header at the top of each page, numbers the pages and puts the totals at the end. Before you download, it tells you the page count and the file size. Be aware, though, that lines are entered one at a time: there is no import from an Excel file.

What a 150-line file looks like

  • Page 1 opens with the quote header (title, number, date, validity and currency), then your details and the buyer's, then the table.
  • When a page fills up, the table continues on a new page and the header row (Description, Qty, Unit price, Total) repeats at the top, so nobody has to flip back to page 1.
  • Lines are numbered 1 to 150 in order, so the buyer can simply say ‘line 87’ when they have a question.
  • A page number appears at the bottom of every page, in the form ‘2 / 4’.
  • Subtotal, discount, tax and total come after the last line, followed by the notes.
Worked example

150 products, each 10 cartons × 12.50 = 125.00.

Subtotal 18,750.00, tax at the supplier's entered rate (15%) 2,812.50.

Total 21,562.50 SAR. At the maximum of 200 products with the same figures, the subtotal would be 25,000.00 and the total 28,750.00.

Before you start entering a long list

  1. Prepare the list in a text file or spreadsheet: description, quantity, price. You will copy from it into the fields of the Quotation generator.
  2. Press ‘Add item’ for each new product. At line 200 the button stops and a message says a document can hold up to 200 items.
  3. Do not reload the page while you work. Nothing is saved, and re-entering 150 lines is costly. Always keep the original list.
  4. Press ‘Create PDF’ and check the page count in the ready message. The preview shows only page 1, so open the downloaded file and scroll to the last page to see the totals.

Details that help with large orders

Long descriptions wrap onto several lines inside their cell and never spill out of the table, but shorter descriptions mean fewer pages. Put the product code at the start of each description, such as ‘SKU-2041 Olive oil soap 100 g’, which makes matching against the buyer's system easier. Prices with fractions, such as 7.25 or 3.90, are calculated exactly: 24 × 7.25 = 174.00 and 60 × 3.90 = 234.00, and rounding errors do not pile up because each line is rounded to the halala on its own.

When the buyer accepts, create the invoice with the same list in the Basic invoice generator. You will enter the list there as well, so the copy you kept saves a lot of time.

Limits to know

  • There is no CSV or Excel import, and no way to paste the whole table in one go.
  • One discount and one tax rate apply to the whole quote, not per product.
  • If your list is longer than 200 products, split it into two quotes with consecutive numbers, such as Q-118-1 and Q-118-2.

Common questions

Will a quote this long slow the browser down?

A 60-line quote over several pages with a repeated table header was tested, the limit is 200 lines, and the file is built inside your browser.

Can I reorder products after entering them?

There is no way to reorder, and a new line is always added at the end of the table. Sort your list before you start entering it.

Does the file show how many products there are?

Each line carries its number in the first column, so the last line's number is the product count.
