My customer lost their receipt; how do I give them a copy with the same number?
The tool keeps no past receipts, so rebuild it from your records: the same number, the original date, the same amount, with 'Copy of original receipt' in the notes. Confirm the details from your bank statement or ledger, not from the customer's memory.
First, look for the original file
Before retyping anything, look for the PDF you made at the time. The downloaded file carries the receipt number, such as receipt-RCT-2026-0023.pdf, so search for the number in your Downloads folder, your sent email and the chat where you sent it. If you find it, send it as it is; that beats any rebuild.
Not found? Rebuild it from your records
- From your receipts sheet or ledger, pull the receipt number, date, amount and customer name.
- Check the amount and date against your bank statement or cash book, especially if you do not keep a sheet.
- In the Receipt generator, enter the same number, RCT-2026-0023, and change the date from today to the original date.
- Enter 300; the summary shows 300.00 SAR. Use the same method and the same purpose as the original, as closely as you can.
- In the notes: 'Copy of original receipt RCT-2026-0023, reissued on 21 September 2026 at the customer's request'.
- Create and send the file, and note in your sheet that a copy went out and when.
Why the same number rather than a new one?
The lost receipt describes one payment that happened once. A new number means two payments in your records, and over time it can look as if the customer paid twice or you were paid twice. The original number plus the word 'copy' tells the truth: the same payment, on a fresh sheet of paper.
What not to do
- Do not go by the amount the customer remembers. If it differs from your records, what reached your account is the reference.
- Do not reword the purpose to suit a new need, such as naming a service that was not on the original. A copy matches the original.
- Do not leave today's date in the date field; that makes the copy look like a new payment.
- Do not reissue a receipt for a payment you cannot find in your records or statement at all.
If the customer needs the receipt to prove a payment against an invoice, an updated invoice from the Basic invoice generator with the amount in 'Amount paid' can help alongside the copy.
So it does not happen again
Nothing is kept once the page closes, so save every receipt you issue into one tidy folder and log its number. The next time a customer loses one, it is a single message with the original file attached.
Common questions
Does the word 'copy' stand out in the file?
There is no stamp or watermark. The wording appears in the notes section below the amount table.
The original was in Arabic and the customer wants the copy in English. Is that possible?
The tool lets you do it, and the details stay the same. Say in the notes that it is an English copy of a receipt issued in Arabic.
