I tutor privately; how do I give parents a receipt for the month's fees?

Issue one receipt per payment, with the parent as the payer, and let 'What the payment is for' name the student, the subject, the month and the number of sessions. The receipt holds one amount with no line items, so if you charge per session or per hour, work out the month's total first, then enter it.

Example: October for a grade 6 student

You teach maths to a grade 6 student: eight sessions a month of an hour and a half each, at 50 riyals an hour, plus a printed workbook that cost 40.25 riyals. Her mother pays the lot at the end of the month.

Start with the sessions. In the Timesheet calculator, enter the eight sessions from 16:00 to 17:30 at a rate of 50 an hour; the tool totals 12 hours and pay of 600.00. Add the workbook's 40.25 and the month comes to 640.25 riyals.

Filling in the receipt

  1. In the Receipt generator, give the receipt a number that can carry the month, such as TUT-2026-10.
  2. Enter 640.25 with SAR; the summary shows 640.25 SAR.
  3. Pick the method the mother actually used, with the transfer reference if it was a transfer.
  4. In what the payment is for, write: 'Maths tutoring for Sara, October: 8 sessions (600 SAR) and workbook (40.25 SAR)'.
  5. Under 'Customer details (payer)', enter the parent's name, not the student's; the parent is who paid.
  6. Create the file and send it in the chat where you arrange the lessons.

Why the detail in the purpose pays off

Halfway through next month the mother may ask, 'Did I pay for the make-up session?', or the father may ask about a month long gone. A receipt that states the sessions and period answers without you scrolling back through chats. The purpose field takes up to 200 characters, enough for a line like the one above; anything longer, such as the session dates, can go in the notes.

Situations tutors run into

  • Two siblings, one payment from their father: one receipt for the full amount, with both names and each one's sessions in the purpose.
  • Two months paid in advance: one receipt for that payment, with both months named plainly.
  • A cancelled session to be made up later: note it so it is not charged twice.
  • A student paying from abroad: pick the currency actually paid from the list.

If a parent wants each session listed on its own line with a date and fee, that is an invoice layout rather than a receipt, since the receipt here is one amount.

Common questions

Should I issue a receipt for every session?

Only if they pay per session. The receipt follows the payment: a monthly payment means a monthly receipt.

Does the tool keep parents' details for next month?

No, nothing is saved once the page closes, so you type them in again each month.
